These Terms of Service and Subscription Terms (“Terms”) govern access to Receptionist Max, including its website, AI receptionist, customer portal, calling and messaging features, integrations, subscriptions, add-ons, and usage services. By creating an account, selecting a plan, saving a payment method, or using the service, you agree to these Terms and the Privacy Policy. If you use Receptionist Max for an organization, you confirm that you are authorized to accept these Terms for that organization.
1. The service
Receptionist Max provides AI-assisted phone answering, caller intake, lead and appointment tools, business-knowledge features, integrations, call records, and related services. Features depend on the selected plan, completed setup, available funds or included usage, connected providers, and service availability.
AI-generated responses, transcripts, summaries, and actions can be incomplete or incorrect. You are responsible for reviewing important information and configuring escalation for matters that require a person. Receptionist Max is not an emergency service and is not a substitute for legal, medical, financial, or other licensed professional advice.
2. Current monthly plans and usage rates
All prices below are in U.S. dollars. Paid-plan fees are monthly recurring charges. Receptionist Max does not currently offer an annual subscription or a one-time lifetime purchase through this website. Any future annual, prepaid, or one-time offer must be separately displayed and accepted at checkout before it applies.
Flex
- $0 monthly platform fee.
- No included monthly minutes; Standard AI calls are $0.69 per started minute.
- Flex does not include a subscription trial or Premium AI Voice.
- A new Flex account may receive one Standard Voice test call lasting up to five minutes.
- Funded wallet requirements and any available calling limit are shown in Billing.
Starter
- $99 per month, with 250 Standard AI call minutes included each monthly period.
- Standard usage after the included allowance is $0.45 per started minute.
- Eligible new accounts receive a 7-day launch trial and a $10 call-testing credit.
- Premium AI Voice is optional for $29 per month. When enabled, the same included-minute allowance applies first, followed by $0.59 per started Premium minute.
Pro
- $199 per month, with 600 Premium AI call minutes included each monthly period.
- Usage after the included allowance is $0.39 per started minute.
- Eligible new accounts receive a 7-day launch trial and a $10 call-testing credit.
- Premium AI Voice is included at no additional monthly add-on charge.
Agency
- $399 per month, with 1,500 Premium AI call minutes included each monthly period.
- Usage after the included allowance is $0.29 per started minute.
- Premium AI Voice is included at no additional monthly add-on charge.
- Agency has no free trial and no signup wallet credit. By selecting and confirming Agency, you authorize the $399 first-month charge immediately. Included minutes remain locked until a payment method is saved.
3. Started minutes, allowances, and other charges
Calls with 15 or fewer AI seconds, including silent hangups, are not charged. Longer calls are rounded up to the next whole started minute. Included minutes apply first during the applicable monthly billing period. Unused included minutes do not roll over unless the Billing page expressly states otherwise.
Usage over an included allowance, Flex usage, optional Premium AI Voice, additional managed phone numbers, wallet funding or auto-recharge, taxes, and other separately displayed services may be charged in addition to the monthly platform fee. The portal shows the current plan, usage, wallet activity, paid-through dates, and enabled billing options.
4. Trial terms
The 7-day launch trial is available only to eligible new Starter and Pro accounts. Flex and Agency do not include a subscription trial. Trial eligibility may be limited to one trial per customer, business, payment method, or related account. The portal’s Billing page displays the trial status and end time for an eligible account.
A payment method is required before activating a dedicated business number. If a Starter or Pro account activates service and remains subscribed through the end of its trial, the applicable monthly plan fee becomes due and may be charged to the saved payment method unless the subscription is canceled before the displayed trial end. Trial or testing credits have no cash value, are not transferable, and expire or stop being usable as shown in the account.
5. Recurring-charge authorization
When you select a paid plan and save a payment method, you authorize Receptionist Max and its payment processor to charge the saved method for:
- the plan’s monthly platform fee;
- usage and overage charges at the rates shown for the selected voice tier and plan;
- Premium AI Voice fees when you expressly enable that add-on;
- wallet auto-recharges at the threshold and amount you enable;
- phone-number or other add-on fees presented before activation; and
- applicable taxes or required charges.
Monthly plan charges renew on the account’s billing anniversary or the monthly period displayed in Billing until canceled. If a payment fails, service may be restricted or marked past due, and a managed phone number may be released to prevent continuing provider charges.
6. Premium AI Voice
Starter customers who enable Premium AI Voice authorize an immediate $29 activation charge for one month of access and monthly renewal while auto-renew remains enabled. The activation or renewal fee is not automatically prorated or refunded if Premium is later disabled. Canceling Premium renewal leaves Premium active through the displayed paid-through date. Pro and Agency include Premium AI Voice as part of the base plan.
7. Wallet and auto-recharge
Some usage is deducted from a prepaid account wallet. Wallet funding is not a bank account, earns no interest, and is available only for eligible Receptionist Max charges. If you enable auto-recharge, you authorize the displayed amount to be charged to the saved payment method when the displayed threshold is reached. You can disable auto-recharge in Billing, but charges already incurred remain due.
8. Managed phone numbers
A managed phone number is licensed for use with an active Receptionist Max account; it is not sold to you. Activating a number requires a saved payment method. Additional-number fees, if any, are shown before selection.
Canceling the base subscription is effective immediately under the current portal flow. It stops future monthly plan billing and releases managed phone numbers. A released number may not be recoverable. Payment failure, prohibited use, or termination may also cause a managed number to be released. Do not advertise a managed number as permanently owned unless a separate written porting arrangement has been completed.
9. Cancellation
You may cancel an eligible subscription in the portal’s Billing section or contact support@receptionistmax.com for help. To avoid a Starter or Pro trial converting to a paid monthly period, cancel before the trial end shown in Billing.
Base-plan cancellation is processed immediately, releases managed phone numbers, disables auto-recharge, and stops future monthly plan billing. It does not erase charges already incurred. Premium AI Voice renewal cancellation is different: paid Premium access continues through the displayed paid-through date and renewal then stops.
10. Refunds, billing questions, and disputes
Except where required by applicable law or expressly stated in a written offer, monthly platform fees, used call minutes, overages, wallet usage, phone-number fees, and activated add-on periods are nonrefundable once charged or used. Base-plan and Premium cancellations do not create an automatic prorated refund.
If you believe a charge is duplicated, unauthorized, or incorrect, contact support@receptionistmax.com promptly with the account email, charge date, and amount. We will review available account and processor records and correct confirmed billing errors. Starting a payment dispute or chargeback does not itself cancel a subscription; use the portal cancellation control or contact support to stop future billing.
11. Customer responsibilities and acceptable use
You are responsible for account access, business content, call routing, saved contacts, connected services, and use by your team. You must keep account information accurate and protect passwords, tokens, and connected accounts.
You may not use Receptionist Max to:
- violate privacy, call-recording, telemarketing, messaging, consumer-protection, intellectual-property, or other applicable requirements;
- make unlawful, deceptive, harassing, abusive, discriminatory, or fraudulent calls or messages;
- impersonate another person or misrepresent AI output as verified professional advice;
- collect or expose information you are not authorized to process;
- interfere with the service, bypass usage or billing controls, probe security, or distribute malicious code; or
- use the service for emergency dispatch or other safety-critical decisions without an appropriate human and backup process.
You are responsible for required caller notices and consents, including notice of AI participation, recording, or transcription where applicable.
12. Customer content and integrations
You retain rights you have in content you submit. You grant Receptionist Max permission to host, process, transmit, and format that content as needed to provide, secure, and support the service. You confirm that you have the rights and permissions needed to provide the content.
Third-party integrations, telephony, AI, payment, and connected services have their own terms and availability. Receptionist Max is not responsible for an independent provider’s acts, outages, data practices, or changes, although we will use reasonable efforts to operate our part of the service.
13. Availability and changes
We may maintain, update, replace, limit, or discontinue features when reasonably necessary. The service is provided on an “as available” basis and is not guaranteed to be uninterrupted, error-free, or suitable for every business or use case. Service results depend on configuration, caller behavior, networks, connected providers, and AI output.
We may change future prices or plan features by posting updated terms or giving notice through the website, portal, or account contact information. A price change does not authorize a new annual or one-time charge unless that offer is separately displayed and accepted. Charges already incurred remain governed by the terms shown when they were incurred.
14. Suspension and termination
We may suspend or terminate access for nonpayment, security risk, unlawful or abusive use, material violation of these Terms, or where needed to protect callers, customers, providers, or the service. Where practical, we will provide notice and a chance to address the issue. Obligations concerning accrued charges, customer content rights, disputes, disclaimers, and limitations that reasonably should continue will survive termination.
15. Responsibility limits
To the extent permitted by applicable law, Receptionist Max is not responsible for indirect, special, incidental, or consequential losses, lost profits, lost business, or decisions made solely from AI-generated output. Nothing in these Terms excludes a responsibility that applicable law does not allow to be excluded.
16. Changes to these Terms
We may update these Terms as the service changes. The revised version will be posted here with a new effective date. If a material change requires additional consent, we will request it through the service or at checkout.
